fishbAIt Privacy Policy

This policy explains what information Fishbait Solutions LLC (“fishbAIt,” “we,” “us”), of 1004 Highway 1184, Cottonport, Louisiana 71327, collects through this website and the fishbAIt service, which appears in the application as Bid Scout (together, the “Service”), how we use it, whom we share it with, and the choices you have.

fishbAIt is a service for businesses. Most information we hold is about a business and the people who work for it in that capacity.

1. This website

This website (fishbaitai.com) is a set of static pages. It sets no cookies and runs no analytics or advertising trackers. Our hosting provider receives the technical information any web server receives — your IP address, browser type, the pages requested, and timestamps — and may keep it in server logs. The pages load fonts from Google Fonts, so Google’s servers receive your IP address and browser information when a font is requested; Google’s privacy policy applies to that request.

When you request a free opportunity scan or otherwise write to us, the form composes an email in your own mail application; nothing is sent until you send it. We use the company and contact details you provide only to prepare your scan, answer you, and — if you ask us to — set up your account. If you tell us you would rather not hear from us, we stop.

2. Information we collect through the Service

Account and business information you give us. When you or your organization signs up, we collect your name, work email address, your business’s name and contact details, and the roles you assign to people on your team. As you build your company profile, we collect the facts you enter about your business: what it does, its classification codes, licenses, certifications, insurance and bonding, service territory, size, and the kinds of work it wants and does not want.

Documents you upload. You may upload materials about your business — capability statements, brochures, website pages, past-performance summaries. We read them to pull out profile facts, and we keep track of which fact came from which document.

How you use the Service. We record what you do in the Service: opportunities you save, mark, or give feedback on; your bid pipeline and outcomes; notes; settings; and, where you use the conversational feature, the questions you ask your agent and the answers it gives. We also keep an audit trail of who viewed or changed important information in your account, including any access by fishbAIt staff.

Billing information. Payments are processed by Stripe, Inc. We never see or store your card number. We receive from Stripe a customer identifier, the last four digits and brand of your card for display, and the status and amounts of your invoices.

Technical information. Like most web services, the fishbAIt application automatically receives your IP address, browser and device type, pages visited, and timestamps, and it uses cookies and similar technologies that are necessary for signing in and keeping your session secure. We use Microsoft Application Insights to monitor the health and performance of the Service.

Information from public sources. The government opportunity data at the heart of the Service — solicitations, notices, agencies, contacts named in solicitations — is collected from public government sources such as SAM.gov and state and local public-notice publications. Where we compile information about businesses from public sources for our own marketing (for example, state licensing boards), that is described in Section 7.

3. How we use information

We use the information above to:

  • provide the Service: build and keep your profile, match opportunities to it, explain the matches, send briefings, answer your questions, and show your team its work;
  • operate your account, bill you, and provide support;
  • keep the Service secure, prevent abuse, and maintain the audit trail;
  • improve the Service, including by studying de-identified, aggregated patterns across customers (for example, how often a given license unlocks work);
  • communicate with you about the Service — briefings, account notices, changes to terms or prices; and
  • comply with law.

Automated processing. The Service uses automated systems, including artificial intelligence models, to read your documents, extract profile facts, classify and summarize opportunities, generate explanations and recommendations, and answer your questions. Facts extracted automatically are labeled as such and do not affect eligibility-related settings until a person you authorize approves them. We do not use your data to train models that are shared with other customers, and we do not train a separate model on your data.

4. How we share information

We do not sell personal information, and we do not share it with third parties for their own marketing. We share information only with:

  • Service providers acting for us, under contracts that restrict their use to providing their service to us: Microsoft Azure (hosting, storage, database, email delivery through Azure Communication Services, and AI processing through Microsoft Foundry — all in United States data centers); Stripe (payments); Microsoft Application Insights (monitoring); and, for this website, our static-hosting provider and Google Fonts as described in Section 1.
  • Your own team, according to the roles your account Owner assigns. Your account Owner and Administrators can see the activity — including conversation history — of the people in your account.
  • Government sources are never sent your information; the Service reads from them.
  • Authorities or others when required by law, to enforce our agreements, or to protect the rights, safety, or property of fishbAIt, our customers, or others.
  • A successor in a merger, acquisition, or sale of assets, in which case this policy continues to apply to your information.

5. Your rights and choices

Review, correct, export, delete. Your account Owner can review what the Service holds about your business — including profile facts, feedback, pipeline history, and conversation history — and correct, export, or delete it from within the Service. We honor deletion requests except for records we must keep, such as billing and audit records, and we tell you what must be kept and for how long.

Marketing email. If we send marketing email, every message includes an unsubscribe link, and unsubscribing takes effect immediately and permanently for that address. Service messages — briefings, billing, security, and account notices — are not marketing and continue while you have an account; you can adjust briefing frequency in your settings.

Cookies. This website sets none. The cookies the fishbAIt application uses are necessary for it to work (sign-in and session security). You can block them in your browser, but the application will not function without them.

Requests. Send any privacy request to support@fishbaitai.com. We will respond within thirty (30) days.

6. Retention

We keep your information while you have an account and for the period afterward needed to complete your export request, resolve disputes, and meet legal obligations. Billing and audit records are kept for at least seven (7) years. Conversation history is kept until you delete it or your account is closed, and the retention period shown in the Service for each kind of stored memory is the one that applies. Scan requests and other correspondence from businesses that do not become customers are kept only as long as needed to answer them and to honor any request not to be contacted.

7. Businesses we contact for marketing

To tell contractors about the Service, fishbAIt compiles publicly available business information — names, addresses, license types, and trade classifications from state licensing boards, government contractor registrations, and similar public records — and may send marketing email or mail to those businesses. That information is kept entirely separate from customer data and is used only for our own marketing. Any such email complies with CAN-SPAM: it identifies us, is not deceptive, includes our postal address, and includes a working unsubscribe that we honor within ten (10) business days and permanently. If you would rather not hear from us, use the unsubscribe link or write to the address in Section 5.

8. Security

We protect your information with encryption in transit and at rest, per-customer data isolation, role-based access, audit logging of access to important information, and secret management that keeps credentials out of code. Staff access to customer accounts is limited to support you request and is recorded and visible to you. No system is perfectly secure. If a breach of security affects personal information in your account, we will notify you without unreasonable delay as required by the Louisiana Database Security Breach Notification Law and other applicable law.

9. Where your information is kept

Your information is stored and processed in the United States. If you use the Service from outside the United States, you consent to that transfer.

10. Children

The Service is for businesses and is not directed to children under 13. We do not knowingly collect information from children.

11. Changes to this policy

We may update this policy. If a change materially affects how we use information you have already given us, we will notify your account Owner by email at least thirty (30) days before it takes effect. The effective date at the top is the date of the current version.
